Why watermark a copy before you send it

Banks, landlords, SIM sellers and job portals often ask for a photo or scan of an identity or address proof. Once you send it, the copy can travel further than you intended. A watermark that states the purpose, such as “Copy for XYZ Bank KYC only”, makes it obvious when the same copy is used somewhere else.

The same tool works for draft documents, confidential reports and photos you publish online. Text watermarks work in any language your device can display, and a logo or stamp image works as well when you want a branded look.

Watermarking a copy of an ID or certificate

Write the purpose, the receiver and, if you like, the date, for example “Copy for ABC Bank KYC, 9 Oct 2026”. Choose Repeat so the mark covers the whole page and cannot simply be cropped away, keep the opacity around 30–40% so every detail underneath stays readable, and make sure the mark does not hide the number or face the receiver needs to check.

Send only what is needed. Where an official service offers a masked or limited version of a document, prefer it. A watermark is an extra layer of care, not a replacement for sharing less.

Choosing opacity, size and angle

Opacity decides how strongly the mark shows. Low values around 15–25% suit a large centred word like DRAFT on a long document. Higher values around 40–60% suit a small corner stamp on a photo. Size controls how wide the watermark is compared with the page, and the angle tilts it; a slight diagonal of 25–35 degrees is easy to read and harder to overlook than a straight line.

The preview uses the first page or photo with the same layout the saved file will have, so you can adjust until the result looks right.

What a watermark can and cannot do

A watermark discourages reuse and shows where a copy came from. It does not stop someone with editing software from covering or removing it, so it is not a security feature. For a PDF that must stay private, share it only with people who need it. In a PDF, the original text and pictures stay exactly as they were and remain selectable, because the watermark is added on top of each page.

Tips for clear watermarks

  • Name the purpose and the receiver in the text, so a reused copy is easy to spot.
  • Keep opacity low enough that the document underneath stays easy to read.
  • Use a dark red or grey colour on light pages and white on dark photos.
  • Use a PNG logo with a transparent background so no white box appears around it.
