How to Compress a PDF for an Online Application

Why certificate PDFs are too large, how to get them under 100KB, 200KB or 500KB, and how to keep the text readable when a portal has a strict limit.

Recruitment, admission and scholarship portals often ask for certificates, marksheets or ID proofs as a PDF under a limit like 100KB, 200KB or 500KB. A phone scan of a single page can easily be 2โ€“3 MB. Here is how to bring it down without making it unreadable.

Why Your PDF Is So Big

There are two very different kinds of PDF:

  1. Digital PDFs โ€” downloaded from DigiLocker, a university site or created from Word. The text is real text, which takes very little space. These are often already small; if not, the size usually comes from embedded images or fonts.
  2. Scanned PDFs โ€” made by a scanner app or by turning photos into a PDF. Every page is a big photo. This is why they are large, and why they compress well.

Step by Step

  1. Start from the best source. If you can download the official digital PDF, use it instead of scanning a printout.
  2. Remove what the form doesn't need. Blank back pages, instructions pages and duplicates all cost bytes. Use Split PDF to keep only the pages you need.

  4. Check the result. Open the downloaded file and zoom into small print โ€” roll numbers, dates and seals must still be readable.

Common Mistakes

  • Compressing a PDF again and again โ€” each round reduces quality further. Always start from the original.
  • Using password-protected PDFs โ€” most portals cannot open them. Remove the password first in your PDF viewer.
  • Uploading a PDF that is just under the limit but unreadable โ€” the verifier may still reject it.
