Text stays selectable when possible

Why a PDF is too big โ€” and what actually shrinks it

Almost all the weight in a document PDF comes from images: scanned pages, phone photos of certificates, or a signature pasted in at full camera resolution. The text itself takes very little space. That is why a one-page marksheet photographed on a modern phone can be 3โ€“5MB, while a ten-page typed report is often under 200KB.

KbSnap first recompresses only the images inside the PDF and leaves the text layer alone, so typed text stays sharp and selectable. If that is not enough to reach your limit, it renders each page as an image and compresses the pages instead. Picking a target size for an application portal

Read the upload rules in the notification and choose the limit it states, not a smaller number. A certificate squeezed far below the limit can become hard to read, and the verifying officer still has to read it. For a single-page certificate or marksheet, 100KB or 200KB usually keeps the text clear. For a document with several pages, give each page roughly 30โ€“60KB; if the total limit is too tight, upload only the pages the form asks for.

If the result says the target was not reached, try the next size up, or remove blank and duplicate pages before compressing. Password-protected PDFs have to be unlocked in your PDF viewer first.

Better scans make smaller files

Scan or photograph documents in good light on a dark, plain surface, crop away the table around the paper, and avoid shadows from your hand or phone. A clean page with a white background compresses far better than a grey, shadowed one, so you can reach a lower KB limit without losing readability.
