Bank Exam Uploads: Photo, Signature, Thumb and Declaration
IBPS, SBI and RBI forms ask for four documents: exact sizes, how to write the handwritten declaration, thumb impression rules and mistakes that get rejected.

Most exams ask for a photo and a signature. Bank recruitment forms from IBPS, and often SBI and RBI, ask for four documents: photograph, signature, left thumb impression and a handwritten declaration. The application cannot be submitted until all four pass the portal's checks.

These are the sizes used in recent IBPS notifications and in the KbSnap presets. Always confirm them in the notification you are applying under.
1. Photograph
- Take the photo against a plain white or light background, facing the camera, with both ears visible if possible.
- Do not wear a cap or dark glasses. Religious headwear is allowed but must not cover the face.
- At 200ร230px the photo is small, so crop close: your face should fill most of the frame.
- Keep the same photo handy โ bank exams usually ask you to bring printed copies of the uploaded photo to the exam and to the interview.
2. Signature
- Sign on plain white paper with a black ink pen. Use your normal running signature.
- Signatures in CAPITAL letters are not accepted by IBPS.
- The same signature is matched against your call letter, attendance sheet and joining documents, so sign the way you always will.
- 140ร60px is tiny. Crop tightly around the ink so the signature fills the box, and keep paper cleanup on so the background turns clean white.
3. Left Thumb Impression
- Use a stamp pad with blue or black ink and press your left thumb once on white paper. Do not smudge or roll it.
- If you do not have a left thumb, notifications allow the right thumb โ check the exact wording.
- Scan or photograph the impression straight on, in good light, and crop it to a square.
- The ridges must be visible. A blob of ink with no lines, or a very faint print, is a common rejection reason.
4. Handwritten Declaration
Write the declaration text given in your notification on white paper in black ink. Recent IBPS notifications use this wording:
"I, _______ (Name of the candidate), hereby declare that all the information submitted by me in the application form is correct, true and valid. I will present the supporting documents as and when required."
- Write it yourself, in English, in your normal handwriting โ not in CAPITAL letters.
- A declaration typed or written by someone else is not accepted, and the application can be cancelled later.
- Write your full name exactly as in the application form.
- Leave a margin around the text so nothing is cut off when you crop to 800ร400px (a 2:1 box).
Preparing All Four Files with KbSnap
- Photo and signature: open the IBPS, SBI Clerk, SBI PO or RBI Assistant exam page โ both presets are already set to the exact pixels and KB range.
- Thumb impression: use Resize Image in KB with a custom size of 240ร240px and a 50KB maximum.
- Declaration: use Resize Image in KB with a custom size of 800ร400px and a 100KB maximum. Keep it above 50KB; if the result is too small, crop a little wider or use a sharper photo of the page.
- Check the pass/fail result for every file before you download it.
Common Rejection Reasons
- โ Signature or declaration written in CAPITAL letters
- โ Declaration text typed, or written in someone else's handwriting
- โ Thumb impression smudged, too faint or from the wrong thumb
- โ Photo and signature uploaded in each other's slots
- โ Declaration file below the 50KB minimum after heavy compression
- โ Blurry or skewed scans taken at an angle
After You Submit
Keep the original photos and papers. Bank exams often ask candidates to repeat the signature, thumb impression and declaration in person at the exam centre, and the handwriting is compared with what you uploaded.
